By default, when you add a new participant to a transaction, s/he is added automatically to your personal contacts. However, you can manually add contacts and keep them personal or share them with other members of your workspace.
You can access personal contacts and shared contacts sections via My member space.
Note that if you are a member with admin rights, you can set contact preferences in the Administration space. For more details, visit Workspace preferences.
Manage personal contacts
The personal contacts section allows you to:
- display contacts that can only be seen by you,
- add, edit and delete personal contacts.
Add a personal contact
To add a personal contact, you need to enter at least his/her email. You can optionally add his/her full name and phone number.
Edit a personal contact
You can only edit a personal contact’s full name and phone number. You can also share a personal contact with other workspace members.
Note that when you share a contact, it moves to shared contacts and can no longer be moved back to personal contacts.
Delete a personal contact
Once deleted, a personal contact can no longer be displayed.
Manage shared contacts
By default, the Shared contacts feature is not activated on your workspace and does not display in your workspace.
Before you can add shared contacts, ensure with us that this feature is activated on your workspace.
Shared contacts can be seen by all workspace members.
Add a shared contact
To add a shared contact, you need to enter at least his/her email. You can optionally add his/her full name and phone number.
Import shared contacts
To add several contacts in a easy and quick way, you can import a CSV file to your shared contacts.
Note that you can download our CSV template containing email, full name and phone name columns.
The CSV file’s maximum size is 2 MB and can contain a maximum of 3000 contacts.
Note that only members with admin rights can import shared contacts.
Export contacts
You can export all your workspace contacts. The exported CSV file contains:
- workspace shared contacts,
- personal contacts of all workspace members.
Note that only members with admin rights can export contacts.
Edit a shared contact
You can only edit a shared contact’s full name and phone number.
Note that shared contacts are flagged as Shared in the transaction. If you edit a participant’s information (full name or phone number) in the transaction editor, the related shared contact is automatically updated in the shared contact section.
Delete a shared contact
Only the creator and members with admin rights can delete a shared contact.
